# Connect your apps

> Connect email, calendar, files and other apps, and choose what Cruma and each crew member may do in them.

Connected apps are where Cruma reads from and, when you allow it, acts. Connect your email and Cruma files every email where it belongs; connect your calendar and it preps you before meetings. Only apps with an official connection are listed.

## Connect an app

1. Open **Settings → Connected apps**.

2. Find the app by category or with **Search apps**: email and calendar, files, docs and sheets, money, talk, work, and AI agents.

3. Choose **Connect** next to the app.

4. Choose **Manage** to set what Cruma may do there.

Once connected, the app shows the account it's connected as and when it last synced.

## What Cruma may do in an app

In **Manage**, under **What Cruma may do here**:

| Level | What it means |
| --- | --- |
| **Read only** | Looks, never changes anything. |
| **Read and draft** | Writes drafts for you to send. |
| **Act, asking first** | Sends or changes things after you approve. |

## What each crew member may use

**Settings → Crew** has a grid of apps and crew members: "What each crew member may touch. Never more than the person it's working for." For each crew member and app, choose:

- **Can't use**: never opens it
- **Reads**: looks, never changes anything
- **Drafts**: writes drafts for you to send
- **Acts, asks first**: sends or changes things after you approve

Each crew member can be narrowed further than the app, never more than the person who connected it. A crew member's page shows the same list under **Apps it uses**.

## What comes in

Email, files, meetings and messages from connected apps arrive once each, with the audience of the connection they came through. The crew proposes facts from them, each with its source, and new work when a request comes in. A piece of work's **Where this comes from** shows its facts by app.

Text in an outside email is information, never instructions to the crew. Facts from an outsider's email always wait for someone to keep them.

## Sending

Anything the crew sends through an app goes through the same levels as everything else: what always asks still asks, and what you approve is exactly what goes out. See [What the crew may do](/concepts/approvals/).

For a channel with no official connection, the crew drafts and a person sends.

## AI agents
