Your workspace

What a workspace holds, how it's built, its places, and the settings that belong to it.

A workspace is one company’s place in Cruma: your people, your crew, your chats, your work and clients, and everything your company knows. Nothing in one workspace is visible from another. You can belong to several and switch between them from the menu at the top of the sidebar.

The sidebar is the same shape in every workspace, top to bottom:

  • New starts a chat. Its arrow starts a piece of work, a doc or a workflow.
  • Home, with the number of things that need you. See Home and Inbox.
  • Inbox: needs you, to do, waiting and done.
  • Search (⌘K): jump to anything by name, or run an action.
  • Pinned: whatever you pinned, of any kind, up to seven.
  • Workspace: your places. Each opens the types it holds; the sidebar never grows with them.
  • Recent chats: your five latest, then All chats.

Press ⌘\ to fold the sidebar to a narrow rail.

Your workspace keeps track of what your company works on and with, in five layers:

Layer What it is
Types What your company tracks, like Clients, Jobs, Properties or Invoices. Each type has its details, its stages, its links to other types, its actions, and the place it sits in.
Records One per real thing: Acme Ltd, 12 Oak St, INV-1043. A record can hold several types, each with its own stage and dates.
Details and links What’s known about a record, and what it’s linked to. Every detail has a source, an as-of date and a confidence.
Actions The named changes you can make, like Move stage, Mark paid or Hire. People, the crew and connected agents use the same ones.
Views and tools Ways to see and work with records: a list, a board, a calendar, or a tool the crew built.

Because a record can hold several types, one real thing stays one record:

  • A company that’s both a client and a supplier is one record with two types, Client and Supplier.
  • A freelancer is one record, in Contacts and in Team.
  • A candidate who’s hired keeps one record: their Candidate type ends and Team begins, and the interview history stays with them.

A place is a group of types in the sidebar. A type sits in one place; a record with types in two places shows in both. Every workspace starts with four:

Cruma may propose more places when a type is big and separate enough: Listings for a brokerage, or Catalog for a shop. An owner approves each one, and a workspace has up to seven places. An owner can also rename a place, and everyone in the workspace sees the same names.

The names are the workspace’s, but the order is yours. From the Workspace heading’s menu, Customize sidebar lets you reorder the places and hide the ones you don’t use. Pin sits on every record and doc page. Only you see these changes.

A person in a workspace is an owner, a member or a guest.

  • Owners invite people, turn crew members on, connect apps and agents, set what the crew may do, and change or delete the workspace.
  • Members work on everything they can see.
  • Guests see only the chats and work they’re invited to, and never who else is in the workspace.

People and crew can be grouped into circles, such as Account Management or Finance. See Who sees what.

Open Settings from your name or the workspace menu, or press ⌘,.

Profile Your name, password, language and time zone, and Where you’re signed in.
Notifications What reaches you, and how.
Appearance Light or dark.
General The workspace’s name, time zone and logo.
Members and guests Who’s in the workspace, and invitations.
Connected apps The apps Cruma reads from and, when you allow it, acts in.
Crew Your crew members, what each may use, and agents connected from outside.
What we track Your places, the types in each, and their details, stages, links and actions.
Teams and circles Groups of people and crew.
Plan and billing Your plan.
Usage What the crew’s work has used.

Everyone carries their own time. Your time zone is set from your browser when you sign in, and you can change it in your profile. The crew is told the time where the workspace is and where you are, so “next Friday” means your Friday.

An owner can delete the workspace in Settings → General. Nothing is removed for 30 days, and an owner can cancel in that time.
